If you need to retain a key over the summer or into the following academic year, you must notify the Key Office or the Production and Events Manager by email by the stated key return date to avoid forfeiting your deposit. If you plan to remain local and continue practicing, you do not need to return your key before summer break, but you must contact the Key Office by Spring quarter finals week to confirm that you will be keeping the key for the summer.

Key Policies
Keys are required to access anything in the Music Department facility. To obtain keys, please go to the key office during the above listed hours.
Checking Out Keys
Checking out a key requires a refundable deposit. All students must pay an initial key deposit of $40 for the first key and an additional $15 for any additional key (with a maximum deposit of $100). Please notify the Production and Events Manager if you have reached the maximum deposit amount. Deposit must be paid by check or money order made out to UC Regents (we do not accept cash or any form of electronic payment).
Keys must be rechecked out each quarter through the key office. Students may retain the same keys across quarters; however, checkout confirmation is still required each quarter.
If you cannot be present during key hours, or have a question in which the key office cannot help you, please set up an appointment with the Production and Events Manager.
Faculty, Staff, and Academic Student Employees (TAs/Associates) are issued keys based on need and are not required to pay a deposit.
Temporary Keys
Temporary key checkouts are available on a case by case basis without a deposit, with collateral such as an ID required. Some keys require approval from the Production and Events Manager. Individuals not currently in a departmental ensemble who are preparing to audition may check out a practice room key for up to two weeks at no maintenance fee, subject to availability. After auditioning, you must contact the Key Office to confirm your ensemble status. If accepted, you may keep the key at no additional cost. If not accepted, you may either return the key for a full deposit return or pay the non major maintenance fee to retain the key, pending availability.
Returning Keys
In order to have a deposit returned, all keys must be returned by the end of the academic year on or before the Monday following finals week. Key deposits will be forfeited if this is not done. Lost keys are nonrefundable and require a new deposit for replacement. You may return a key at any point for a full deposit return.
Key deposits are returned to the student’s BARC account upon return of the key.
Keys may be returned in person during Key Office hours or placed in the drop box on the Key Office door. Please place the key in an envelope with your name to ensure faster processing.
If you are not a music major, and you do not plan on taking any of the music courses listed below in the following quarter, you must return your key(s) by the end of the quarter on or before the Monday following finals week. Key deposits will be forfeited if this is not done.
Practice Room Keys
Practice rooms require keys and permission for use. A key deposit is required for all practice room keys. Music majors, Music minors, and those enrolled in performance ensembles, lessons, or composition courses are given first priority (confirmation from Professors or Ensemble Directors will be required).
Non majors may be allowed practice room access with the authorization of the Production and Events Manager. Non major practice room space is limited. A key deposit, as well as a maintenance fee of $20 per quarter or $60 per year, is required. At the start of each quarter, there may be a wait time of up to three weeks before practice room keys and access are available to non majors. Please contact the Production and Events Manager for more detail on practice room access as a non-music major.
Appointlet
Appointlet is the electronic booking system for the Music Department. QR codes linking to this site are posted throughout the department and on most practice and rehearsal space doors. If there is an issue with appointlet booking, please contact the Production and Events Manager for assistance.
Practice Rooms
All students with access to practice rooms must observe the following rules. If these rules are not followed, keys may be revoked and deposits may be forfeited.
- Do not prop any exterior doors open or disable door latches in any way
- Do not lend your key out or give access to anyone who does not have a key
- Be respectful of the space:
- Do not scratch, punch, or write on the acoustic tiling
- Do not write or paint on the walls
- If stands, chairs, or piano benches are moved from one room to another, restore them when finished
- For the protection of the pianos, there is no food or drink allowed inside the practice rooms. Please respect all rules outlined in the Piano Policy
- Do not lock any individual practice rooms inside the quad rooms. If you need a space to lock your instrument, please request a locker
- Turn off lights and close/lock exterior doors when finished practicing

All individual practice rooms are booked through Appointlet
Group Rehearsal Rooms
A member of your group must have a key to access a practice room. Please only practice in designated areas. If you would like to have a regular repeating rehearsal or practice, please contact the Production and Events Manager directly.
The use of any group rehearsal room must be accompanied by an Appointlet booking.
Keys for Teaching Assistants, Faculty, & Staff
Active Teaching Assistants and Associates are issued keys to their assigned offices, classrooms, and, when necessary, pianos and media equipment, as well as faculty offices with permission, and no key deposit is required for these assigned spaces. Teaching Assistants also receive, at no charge, a key to the main office front door, the rooms in which they are serving as TAs, and their TA offices, though a deposit is required for access to any additional rooms. Faculty and staff may be issued keys at no charge or deposit as needed, and should coordinate with the Production and Events Manager for approval.

Lockers
Lockers are available in the Music Department in a variety of sizes, though space is limited. They are intended for instrument storage. Music majors and minors receive priority access. Non-majors may request a locker by contacting the Production and Events Manager after week 2. A maintenance fee of $20 per quarter or $60 per year applies to all non-majors with a locker.
A key deposit is required for access to the locker rooms in all cases.
Lockers are inspected each summer. You may leave items in your locker over the summer, but you must notify the key office. Without confirmation, lockers will be emptied and prepared for the next academic year at the end of summer.
Confirmation of continued locker use is required via email to the key office or the Production and Events Manager each quarter.
Sizes:
Extra Large Lockers
These lockers are designated for larger instruments such as tubas, trombones, baritone saxophones, cellos, and French horns. With the exception of tubas, all other instruments can be shared 2 per locker.
Large Lockers
These lockers are designated for trombones, French horns, bassoons, and guitars. Only one person per locker.
Medium Lockers (stacked)
